Events Configuration - Enquiry Settings & Rejection Reasons

The enquiry settings function allows configuration to determine the number of days in advance enquiries can be made.

Minimum Notice

Entry box to define the number of days an enquiry can be made

A day indicates one calendar day and not always 24 hours. Setting the day to 1 means that you will not accept enquires for today but will accept an enquiry for any time tomorrow

  • No days entered - enquiries can be taken anytime

  • Value 1-999 - the number of days prior to a booking date to prevent new enquiries being made

Configuring Enquiry Settings

  1. From Estate Admin menu select Enquiries

  2. If required set the minimum notice number of days a the required level within the hierarchy

  3. Click Save Changes

The enquiry rejection reasons allow a list of reasons to be configured which can be then used during communications with guests. When an enquiry is rejected a reason must be selected from the list displayed.

Internal Description Entry box to define the internal / staff description of a rejection reason
External Description Entry box to define the guest facing description of a rejection reason

 

The email template "Enquiry Rejected" can be used to communicate with the guest to advise that their enquiry has been rejected and the reason why using the dynamic tag %RejectionReason% (which will use the external description)

Configuring Rejection Reasons

  1. From Estate Admin menu select Enquiries | Rejection Reasons tab

  2. Click Add new Rejection Reason | enter the Internal and External descriptions

  3. Click Save Changes

  4. To edit or delete a reason select this option again each reason
